Privacy Policy
With this privacy statement, we inform you about the processing of personal data by the Rotterdam Port Welfare Committee (RPWC) for the purpose of applications for funding of activities of welfare organisations, of applications to get publicity on the website of the RPWC, applying to become a volunteer and sending the invitation to the annual meeting.
The Port of Rotterdam Authority, as part of RPWC is a data controller within the meaning of the General Data Protection Regulation (‘GDPR’). This privacy statement applies to applicants (hereinafter ‘Data Subject’).
This specific privacy statement should be read in conjunction with the general privacy statement of the Port of Rotterdam Authority.

1. Introduction
Your privacy as Data Subject is important to us at RPWC, and we will handle any data you provide to us with the utmost care. In addition, we comply with all laws and regulations relating to your privacy.
This privacy statement sets out how we collect and handle your personal data in the context of land development within the RPWC. This privacy statement also sets out the rights that you have in relation to your personal data and how you may exercise these rights.
2. Processing of personal data
In connection with the applications of data subjects, the secretary of the RPWC, working at the Harbour Master Division of the Port of Rotterdam Authority, may process the data below from you:
• Your initials, first name and surname contact person;
• Email address(es)and telephone number(s) contact person;
• Name of the welfare organisation that contact person submitted the application to; • Address of welfare organisation
3. Purposes
Abovementioned personal data is only used for one or more of the following purposes:
• Handle applications for funding for welfare organisation activities;
• Handle applications for publicity on RPWC’s website;
• Applications to become a volunteer with one of the welfare organisations; • Sending the annual meeting by e-mail.
4. Legal grounds
The RPWC secretary will only process your personal data if there is a basis for processing it. Below is an explanation of those legal grounds.
Legal duty (for the financial application)
Complying with legal duty PoR processes your personal data to comply with a legal duty incumbent on PoR, in this case accounting for the financial provision.
Consent (for the request for publicity and to become a volunteer and for sending the invitation)
In the case of the application for publicity and to become a volunteer and for sending the RPWC invitation, your data may be processed because you have given your consent. You have the right to withdraw this consent at any time. This can be done by replying via the e-mail with the invitation that you no longer wish to receive it or by making this known by filling in the online form ‘request regarding personal data’ on the website
www.portofrotterdam.com/privacy. Withdrawing your consent does not affect the legal validity of the processing prior to its withdrawal.

5. Consequences of not providing your personal data
As a Data subject, you have no legal obligation to provide personal data to PoR. However, without providing your personal data, we may be unable to execute specific activities in the context of land development.
6. Retention period
RPWC will not store your personal data longer than necessary for the purposes specified in this Privacy Statement.
7. Transfer to third parties
Your personal data not be shared with third parties.
8. Transfer to third parties outside the European Economic Area
No personal data (or a part thereof) may be shared outside the European Economic Area (EEA).
9. Your rights
As a data subject, you have the following rights:
• The right of information and the right of access to your personal data; • The right to correct and complete your personal data;
• The right to request PoR to erase your personal data;
• The right to restrict the processing of your personal data;
• The right to object against the processing of your personal data;
• The right to data portability;
• Insofar the processing of your personal data is based on your consent you can withdraw your consent at any time.
If you wish to exercise one or more of your rights, please submit your request to PoR by sending an email to our general GDPR email address AVG@portofrotterdam.com or completing the form ”Request with respect to personal data” on PoR’s corporate website. Please note: the above rights are not absolute. This means that the PoR is not obligated in each and every case to honour your request relating to the exercise of one or more of the above rights.
10. Complaints
PoR will handle your personal data with the utmost care. Should you nevertheless have a complaint about the processing of your personal data by PoR, you have the right to make a complaint to the Dutch Data Protection Authority (Dutch DPA). You can find DPA’s contact details on its website.
11. Changes to our Privacy Statement
This Privacy Statement is dated 1 October 2024. PoR reserves the right to make changes to this Privacy Statement without notice. The most recent version of this Privacy Statement can be reviewed on RPWC site.
